Terms and Conditions of entry

The College Herald Programme

1.Competition

APN will publish The College Herald as a Special Section in The New Zealand Herald on Tuesdays for 20 weeks specified in The College Herald calendar. Pieces published in the print edition of The College Herald will also be published on www.nzherald.co.nz/college. The proposed start for such publications is May 10 but APN reserves the right to change this date.

2. Eligibility for Entry

2.1 Entry is only open to students aged between 13 – 19 years of age as of May 10, 2011 who are enrolled at a secondary school in the distribution areas of The New Zealand Herald in the North Island.

2.2 All students and their schools entering or contributing to any pieces of work submitted into this competition agree to be bound by these Terms and Conditions.

2.3 Where only one student contributes to a piece of work, that student will be the “Entrant” for the purposes of these Terms and Conditions.

2.4 Where more than one student contributes to a piece of work (e.g. where one student writes an article and another student contributes a photo):

(a) the piece of work may only be entered once;
(b) the piece of work must be submitted by one student only (on behalf of all contributors) who will be the “Entrant” for the purposes of these Terms and Conditions;
(c) the Entrant will ensure that they have the permission of the contributors for submission of the piece of work;
(d) the Entrant must acknowledge all contributors of the piece of work on the entry form;
(e) the Entrants and all contributors must meet the requirements of clause 2.1;
(f) the piece of work will be judged as one entry and will be eligible to win one prize only, with the Entrant being the deemed prize winner.

2.5 Every entry must be:

(a) the exclusive and original work of each Entrant and any acknowledged contributors;
(b) clearly marked with the Entrant and each contributor’s name (pseudonyms are not accepted), age, year and school. It must also state the theme of work and whether it is submitted on a General or Weekly theme.
(c) If submitted by post, typed and given to your teacher who will send the material to The College Herald by the relevant deadline date. A completed entry form signed by the teacher must accompany each piece. Those Entrants shortlisted will be asked to email submissions;
(d) If submitted via www.collegeherald.co.nz accompanied by a teacher email address for verification. Your teacher will be notified via email upon your submission. Upon approval, your teacher will submit the material to The College Herald by the relevant deadline date.
(e) Certified by the Entrant’s teacher as authentic and that it complies with these Terms and Conditions.

2.6 Only one entry may be made by each Entrant for each issue of The College Herald.

3. Themes

3.1 Individual issues of The College Herald may be partnered by a different company (the Partner) and will have the Partner’s chosen theme allocated to that issue.

3.2 The College Herald Weekly Themes and General Themes are listed in The College Herald resource book.

3.3 APN will select approximately 20 entries for publication in each issue of The College Herald. The 20 entries published in each issue will be a mixture of those based on The College Herald Weekly Theme for that issue, and those based on the General Themes.

3.4 Notwithstanding clause 3.3 above, APN reserves the right to publish less than 20 articles.

4. Specific Category Entry Requirements

An entry may comprise a piece of work from one or more of the following categories:

4.1 Articles

(a) All articles must be original and the exclusive work of the Entrant and acknowledged contributors
(b) All articles must be fair, objective and balanced. Offensive language is not acceptable.
(c) Each article must be a minimum of 200 words and no more than 600 words and must be typed.
(d) Sources used must be quoted so they can be checked at APN’s discretion

4.2 Artwork

(a) If an artwork entry is shortlisted for publication, the Entrant may need to arrange to send the original artwork in for further judging. APN will return the original artwork on completion of judging. Artworks are the only entries that will be returned if requested by Entrants. APN does not accept any responsibility for the loss or damage in transit of artworks.

4.3 Photographs

(a) All photographs must be the original and the exclusive work of the Entrant or acknowledged contributors.
(b) Only photographic prints will be accepted as valid entries. Do not submit negatives or transparencies.
(c) A detailed caption must be supplied with each photographic entry.
(d) Up to three related photographs may be submitted as one entry if the photographs show a sequence of events.
(e) APN may decide to use a Herald photo instead of one submitted by an Entrant to accompany an article.

5. Submitting Entries

5.1 Entries can be submitted online at www.collegeherald.co.nz

2.2 Alternatively, entries can be sent by post to: Freepost 209433, The College Herald NSM Department, Response Bag 500015, Auckland Mail Centre, Auckland 1142. Fax: (09) 373 6529.

2.3 Entries must be received no later then the relevant Entry Deadline for Students date listed in the College Herald resource book.

2.4 APN accepts no responsibility for late, lost or misdirected entries.

6. Judging Criteria

6.1 All valid entries will be judged by editorial staff at The New Zealand Herald, and prizes awarded on merit, according to creativity, originality, entertainment, humour, information and newsworthiness.

6.2 The judges will take into consideration different judging criteria based on the particular style of work and the year level and the age of the Entrant who submitted the work.

6.3 The decision of the judges will be final and no correspondence will be entered into.

4.4 While a submission may be shortlisted and asked to be emailed into APN electronically, this does not guarantee the submission has been selected for a prize nor that it will be published in The College Herald.

7. Prizes

College Herald

7.1 Each week one Editor’s Choice Award will be chosen. The prize for the student’s school will be $500. The student will receive a Olympus SP-600V2 Digital Camera.

7.2 Each week the remaining 19 winning entries will be awarded a $100 JB HiFi voucher.

7.3 Prizes are not transferable, exchangeable or redeemable for cash. Notwithstanding this, APN reserves the right, where a prize becomes unavailable, to substitute prizes for similar prizes.

7.4 All winners will be notified by post. The $100 JB HiFi voucher prizes will be awarded each week and each winner will be notified by mail. The 20 Editor’s Choice Award winners will be invited to a prize-giving ceremony in Auckland. Further details about the prize-giving will be posted to the winning Entrants at the conclusion of the competition. Cost of transportation to the prize-giving ceremony will be at the winning Entrant’s and school’s own expense. If the winning Entrants can not attend the awards ceremony their prize will be sent by mail/courier.

8. Copyright

8.1 Each Entrant and all contributors acknowledge that APN intends to publish some or all of each selected entry in The College Herald and therefore all content contained in the entries (including photographs) must be the exclusive and original work of the Entrant and any acknowledged contributors.

8.2 Each Entrant and all contributors must use all reasonable endeavours to ensure that the entries do not infringe the intellectual property rights of any third party. In particular, no entry may contain images, including photographs, or written work downloaded from the internet.

9. Contributor’s Details

9.1 APN collects and holds various information about students and teachers, including personal information, provided with the entry. APN will hold the personal information collected at 46 Albert Street, Auckland. In accordance with the Privacy Act 1993, APN collects and holds personal information from submissions to conduct the purposes outlined in clause 9.2 and will be used for future College Herald communications including sending participants email messages (where consented to). APN deem a participant providing their email address when submitting an entry or registering as acceptance that the participant is giving APN permission to email them with future College Herald communications.  

9.2 The personal information the students provide will be used for the following purposes:

(a) verification of each student’s identity;
(b) processing and considering the student’s entry in the competition;
(c) sending notification of the prizes to the students;

(d) survey participation requests to develop and enhance The College Herald programme.

9.3 APN may disclose each student’s personal information for publicity purposes in connection with the entry.

9.4 Failure to provide necessary personal information requested at the time of submitting the entry will result in the entry being rejected.

9.5 Under the Privacy Act 1993 all students and teachers have rights of access to and correction or their personal information held by APN by emailing www.collegeherald.co.nz, faxing (09) 373 6529 or posting to Freepost 209433, The College Herald NSM Department, Response Bag 500015, Auckland Mail Centre, Auckland 1142, a signed letter requesting access to the information.

10. Plagiarism

All work must be the original work of the student. Plagiarism will disqualify the entry.

11. APN New Zealand’s Rights

11.1 All entries become the property of APN for their sole and exclusive use.

11.1 All Entrants, teachers and their schools, agree to the use by APN of their name, entry details and photographs for publicity purposes.

11.2 APN has arranged this competition in good faith but, to the extent permitted by law, does not accept any liability relating to the prizes or any student’s school’s participation whatsoever.
